1. About AITF

AITF is operated by Multiple Management Australia Pty Ltd (ABN 17 072 216 132) ("AITF", "we", "us" or "our").

AITF provides business assessment, advisory, workshop, implementation, automation and related technology services designed to help organisations understand their operations and identify opportunities to improve the way they work through technology, artificial intelligence and automation.

This Privacy Statement explains how we collect, hold, use and disclose personal information when you:

  • visit the AITF website
  • complete an AITF assessment
  • participate in a workshop
  • create or use an AITF portal account
  • engage AITF to provide services
  • communicate or otherwise interact with us.

We are committed to handling personal information responsibly and, where applicable, in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

2. Information we may collect

The information we collect depends upon how you interact with AITF.

It may include:

  • your name, email address, telephone number and contact details
  • your organisation, business name, role and position
  • information submitted through an AITF assessment
  • information about your organisation's systems, software and technology
  • information about business processes, workflows and operational practices
  • information concerning staffing, administration, costs, time, productivity and operational challenges
  • financial and operational estimates that you provide for assessment purposes
  • workshop responses, observations, notes, decisions and recommendations
  • information submitted through the AITF portal
  • communications between you and AITF
  • information necessary to provide consulting, implementation, integration or automation services
  • technical information associated with use of our website or portal, including device, browser, IP address, access logs and usage information
  • billing, transaction and engagement information.

We generally seek to avoid collecting sensitive personal information unless it is reasonably necessary for a particular service and we are authorised or permitted to collect it.

3. Business information and personal information

Much of the information processed by AITF relates to businesses and organisations rather than individuals.

Business information may nevertheless contain personal information. For example, information about a business process may identify an employee, customer, contractor, supplier or other individual.

Where information supplied to AITF contains personal information, we will handle that personal information in accordance with this Privacy Statement and applicable law.

4. How we collect information

We may collect information:

  • directly from you
  • when you complete an AITF assessment, questionnaire or online form
  • when you create or use an AITF portal account
  • during workshops, meetings and consultations
  • through email and other communications with us
  • from authorised representatives of your organisation
  • from documents or information provided to us by your organisation
  • from systems and services your organisation authorises AITF to access
  • through authorised APIs, integrations and automated workflows
  • automatically through our website, portal and supporting technology infrastructure.

Where appropriate, we may provide additional information about a particular collection of personal information at the time it is collected.

5. Why we collect and use information

We may collect, hold and use information to:

  • provide and administer AITF services
  • conduct digital business assessments
  • calculate and present assessment results
  • identify potential operational improvements
  • prepare recommendations, reports and opportunity assessments
  • conduct workshops
  • understand and document business processes
  • identify opportunities for artificial intelligence and automation
  • develop implementation plans
  • configure and operate authorised integrations and automations
  • measure agreed business outcomes
  • administer client accounts and engagements
  • provide support
  • communicate with clients and users
  • maintain records relating to our engagements
  • improve the AITF platform, methodology and services
  • maintain the security, integrity and reliability of our systems
  • prevent misuse, fraud or unauthorised access
  • comply with contractual, legal and regulatory obligations.

We do not sell personal information.

6. Assessments and profiling

AITF assessments use information supplied by users to analyse aspects of an organisation's operations, systems, processes and potential opportunities for improvement.

Assessment results may include estimates, classifications, benchmarks, scores, recommendations, recoverable time or potential value.

These outputs are primarily intended to assess businesses and business processes rather than individuals.

Assessment results are indicative and depend upon the accuracy and completeness of the information supplied.

7. Artificial intelligence and automated processing

AITF may use artificial intelligence, machine learning and other automated systems as part of its services.

These technologies may assist us with activities including:

  • analysing assessment information
  • identifying potential opportunities
  • classifying or prioritising business processes
  • generating recommendations
  • summarising information
  • supporting workshops
  • preparing implementation plans
  • configuring workflows
  • operating authorised business automations.

Artificial intelligence systems may produce inaccurate or incomplete results. AITF therefore does not assume that an AI-generated output is correct merely because it was generated automatically.

Where appropriate, automated analysis may be combined with defined methodologies, business rules, evidence and human review.

AITF does not regard a client's use of our services as unrestricted permission to use that client's information for unrelated artificial intelligence purposes.

Where third-party artificial intelligence or technology providers process information on our behalf, we seek to use appropriate technical, contractual and operational safeguards.

Where automated systems are used in circumstances that could materially affect an individual's rights or interests, additional safeguards and human review may be applied where appropriate or required by law.

8. Client systems and integrations

AITF services may, where authorised by a client, connect with third-party business systems.

These may include accounting, job management, customer relationship management, productivity, communication, document management and other business platforms.

AITF will only access client systems where authorised to do so.

The information available to AITF through an integration depends upon the permissions granted by the client and the capabilities of the relevant third-party system.

Where reasonably practicable, AITF seeks to apply the principle of least privilege so that systems and integrations receive only the level of access reasonably required to perform their intended function.

Additional terms may apply to production integrations and automated systems implemented for clients.

9. Disclosure and service providers

AITF may disclose or make information available to third parties where reasonably necessary to provide, operate, secure or support our services.

These may include providers of:

  • website and application hosting
  • cloud infrastructure
  • databases and data storage
  • authentication and identity services
  • email and communications
  • analytics and monitoring
  • artificial intelligence and machine learning services
  • software integrations and APIs
  • payment processing
  • security services
  • professional, legal and technical services.

We may also disclose information where required or authorised by law or where reasonably necessary to protect our rights, users, clients or systems.

10. Overseas processing and disclosure

Some technology and service providers used by AITF may operate infrastructure or process information outside Australia.

The countries in which information is processed may vary depending upon the provider, service configuration and infrastructure used.

Where personal information may be disclosed overseas, AITF will take reasonable steps appropriate to the circumstances and applicable legal requirements.

Where practicable and required, we will provide further information about likely overseas disclosures as our technology and service-provider arrangements develop.

11. Data security

AITF takes reasonable technical and organisational measures designed to protect information against misuse, interference, loss and unauthorised access, modification or disclosure.

Depending upon the relevant service, these measures may include:

  • authentication and account controls
  • access restrictions
  • encryption
  • secure communications
  • database and infrastructure security controls
  • logging and monitoring
  • separation of client information
  • controlled access to production systems
  • backup and recovery measures.

No internet-connected service can be guaranteed to be completely secure.

Users and clients are also responsible for maintaining appropriate security over their own devices, accounts, credentials and connected systems.

12. Data breaches

Where AITF becomes aware of a suspected or actual data breach, we will investigate and respond having regard to the nature of the information involved, the potential risk to affected individuals and applicable legal requirements.

Where required by law, this may include notifying affected individuals and the Office of the Australian Information Commissioner.

13. Data retention

We retain information for as long as reasonably necessary to:

  • provide our services
  • administer an engagement
  • maintain appropriate business and engagement records
  • support security and audit requirements
  • resolve disputes
  • comply with contractual, taxation, legal and regulatory obligations.

When information is no longer reasonably required, it may be deleted, de-identified or securely archived where appropriate and subject to applicable legal requirements.

14. Access and correction

You may request access to personal information AITF holds about you or ask us to correct information you believe is inaccurate, incomplete or out of date.

We may need to verify your identity before processing a request.

There may be circumstances in which access can lawfully be refused or limited. Where applicable, we will explain the reason for doing so.

AITF may use cookies and similar technologies to operate, secure, analyse and improve our website and portal.

  • an assessment you have started or completed
  • a workshop
  • your AITF account

  • AITF products, services, insights or events where permitted by law.

You may unsubscribe from marketing communications at any time.

We may still send necessary operational or transactional communications relating to an account, assessment, workshop or active engagement.

17. Third-party websites and services

The AITF website and portal may contain links to or integrate with third-party websites and services.

AITF does not control the privacy practices of those third parties. You should review the privacy policies and terms applicable to third-party services you choose to use.

AITF may update this Privacy Statement from time to time to reflect changes to our services, technology, business practices or legal obligations.

The current version will be published on the AITF website and will identify the date it was last updated.
